Archiving and Terminating Users

You can now archive users temporarily or terminate them permanently. Archived users can be restored with all data intact, while terminated users retain their historical activity for compliance and reporting.

✨ Overview

As your organization grows, people come and go. Some leave permanently, others take temporary breaks, and many come back later. Until now, Delightree didn’t offer an easy way to manage these situations—you either deleted a user (and lost their history) or kept them active (and cluttered the system).

This update fixes that by giving you two clear, simple ways to manage inactive users:

  • Terminate a user → for permanent departures

  • Archive a user → for temporary breaks

Both options keep your records accurate without losing important history.

What’s New

❌ Terminated Users (permanent)

Choose this when someone has permanently left the company or should no longer appear anywhere in the system.

When you terminate a user:

  • They lose all system access

  • They disappear from lists, tasks, trainings, and dashboards

  • Their past activity (ex: completed trainings, checklist submissions) is safely preserved for audits and reporting

This is the best option for former employees or owners who should never return to the system.

📦 Archived Users (temporary)

Choose this when someone is temporarily away—such as:

  • Seasonal workers

  • Team members on extended leave

  • Contractors between assignments

  • Anyone taking a break who may return

When a user is archived:

  • They lose access immediately

  • They are hidden from all active work, dashboards, and reports

  • All of their data stays intact

  • When restored, they return exactly as they were—same roles, same settings, same history

This is the most flexible way to handle short-term staffing changes.

  • How long should archived users stay inactive before review?

3. Review your current user list

Identify:
