Building an Assignment Path: Step-by-Step Guide

An Assignment Path is a set of trainings your team completes in a set order. Think of it like a course syllabus: lesson 1, then lesson 2, then lesson 3.

Keep this guide open next to Delightree while you build. Work through it top to bottom and tick each box as you go.

It's a great fit when order really matters, for example:
  • New hire onboarding, where the basics come before anything else
  • Certifications, where one training must be finished before the next one opens
  • A longer program that reuses a training you already have

If you only want your trainings to show up in a certain order, and it's fine for people to take them in any order, you may not need an Assignment Path. Talk to your Customer Success Manager first.

A few words you'll see

  • Training Path: a single training, like "Food Safety 101"
  • Assignment Path: a group of Training Paths taken in order
  • Supervisor: the person who checks progress and signs off on trainings, like a store owner or GM

Before you start
Jot down answers to these five questions. They'll make every step below quicker.

  • Which trainings, and in what order? Write the list out, 1, 2, 3.
  • Who takes it? Which roles or locations.
  • New people, current team, or both? New hires get it automatically when they join. Your current team gets it right away.
  • Who checks progress? Owners, GMs or managers who need to see results or sign off.
  • How long should each training take? For example, "finish within 7 days."

Build it, step by step

Part 1: Set up each training


Do these steps for every training that will go in your path.

In the left menu, go to Training and click Add new path.

For a draft you already started, go to Training > Drafts > All Drafts, click ⋯ next to it and choose Edit. Each training has three tabs: 1. Training Path Details, 2. Add Content and 3. Assign and publish.

  • Step 1. Decide on completion rules and deadlines before you publish.

    • Videos: on Tab 2. Add Content, the Requirement for completion box makes people scroll through every PDF and chapter and watch every video to the end.
      • You can also set a Completion rule on each piece of content.
    • Sign-off: on Tab 3. Assign and publish, scroll to Completion criteria.
      • Turn on Skill evaluation by supervisor is mandatory only if someone truly needs to review the work. You'll also see Enable minimum passing score and Allow assignees to reattempt & improve score there.
    • Deadline: on the same tab, under Schedule, set the Completion deadline (optional). Choose Custom duration, for example 7 days.

Once the training is live, the completion settings are locked, except minimum passing score.

  • Step 2. Pick new people, current team, or both.

    • On Tab 3. Assign and publish, under Assignees, tick Existing members, New members or both next to Assignment rule. Make the same choice on every training in the path.
    • Why: if a training doesn't match the path, it won't show up when you go to add it.
  • Step 3. Assign the training to one admin account only.

    • Still under Assignees, open Group 1 > Select assign by and choose Member. Then pick one admin account (Delightree Admin, for example) that won't take the training. Don't choose User Role, Location or User Level here.
  • Why: the path gives your team each training at the right time. If a training is also given to your team directly, they can open it early from the Training tab and skip ahead.
  • Step 4. Add your supervisors to the training.

    • Under Supervisors, open Selection type, choose User role or Member, then pick the people. Master Admins are supervisors on every training by default.
    • Why: supervisors on the path can see progress, but only supervisors on the training itself can sign off or give a retake.

When you're done, click Save and next through to publish.

Part 2: Build the Assignment Path

  • Step 5. Create the Assignment Path.

    • In the left menu, click Assignment paths, then + Add.
    • On Tab 1. Basic details, enter a name. Under Who is this assignment path for?, tick the same Existing members / New members choice you made in Step 2. This can't be changed after you publish.
    • On Tab 2. Configure, click + Training Path next to Add step to add each training. Drag the handles to put them in order.
  • Step 6. Turn on Require completion in order.

    • Why: this is what makes each training wait until the one before it is done.
  • Step 7. Choose who gets the path.

    • On Tab 3. Assign, under Assignees, pick roles, locations, user levels or members. Use Add another group or Add exception if you need to.
    • Under Schedule, choose when it publishes.
  • Step 8. Add supervisors to the path.

    • On Tab 3. Assign, under Supervisors, choose User role or Member. They'll get updates about the path and can see everyone's progress. 

Supervision by Role: Master Admins can view and edit the path. Admins, Franchisor Staff and Location Admins of each assignee's locations can view it.

Part 3: Give people access

  • Step 9. Turn on Assignment Paths access for every role in your path

    • Do this under Settings > User Roles. Do this for the people taking it and the supervisors.
    • Why: if a role doesn't have access, they won't see the path at all.

Part 4: Check it before you launch

  • Step 10. Look at it the way your team will.

    • Your Customer Success Manager can help with this. Check that:
      • The path shows up under Assignment paths
      • The trainings are in the right order
      • Only the first training is open, and the rest are locked
      • Later trainings are also locked in the Training tab. If one is open, that training is still assigned to your team directly. Go back to Step 3.
  • Step 11. Tell your team where to go.

    • In your launch message, ask them to open Assignment paths, not Training.

Good to know

Why does a training show up in two places?
Your team will see the same training in both the Training tab and the Assignment paths tab. It's the same training, not a copy. Progress shows in both places, and they only need to finish it once.

What if someone already finished a training?
It still counts. They won't have to redo it, and they'll move straight on to the next one.

How do deadlines work?
Each training in your path uses its own deadline, which you set in Step 1. The Assignment Path itself doesn't have a separate deadline.

The clock for each training starts only when that training opens up for the person. A training that's still locked behind an earlier one hasn't started its clock yet. For example, say Training 2 has a 7-day deadline and someone finishes Training 1 on the 10th. Their 7 days for Training 2 start on the 10th.

If someone misses a training's deadline, it shows as overdue in the Training tab and in the Assignment Path, so supervisors can spot it from either place.

Someone needs to retake a training. What happens to their old score?
Giving a retake starts their progress over, but their past scores are saved. You can find them under Member Analytics > View activity.

Can I give a retake on a training that repeats on a schedule?
No. Trainings that restart on their own (like a yearly refresher) can't be handed out again by hand. They restart automatically each cycle.

How do I add a new training to a path that's already live?

  1. Set up the new training using Steps 1 to 4.
  2. Add it to the path and drag it into place.
  3. Check it the way your team will see it (Step 10).

Can I change a training people are halfway through?
Try to avoid it. Changes to a training in progress can affect people's progress. If you need to make a change, talk to your Customer Success Manager first.

I turned on supervisor sign-off by mistake. Can I undo it?
Not on the published training. You'll need to make a copy of the training with the setting fixed and swap it into your path. Your Customer Success Manager can walk you through it.
