Why this matters:
You already have valuable content. The goal now is to bring over what’s useful, clean up what’s not, and set you up for success in Delightree with a simpler, scalable structure.
This guide is designed to help you confirm your folder structure, clean up outdated material, and give our onboarding team the clarity they need to help with migration without making you document every file.
Step 1: Locate Your Content & Share Access
Before we begin uploading anything, let’s start with where your content currently lives.
Ask Yourself:

Where is your content currently stored?
(Examples: Google Drive, Dropbox, SharePoint, Trainual, your LMS, your desktop) -
Is your content mostly organized in folders… or is it scattered across multiple places or team members?
If Your Content Is Mostly Organized:
Great! You’re ahead of the game. Follow the rest of this guide to:

If Your Content Is Scattered or In Progress:
That’s totally normal especially for growing brands. You don’t need to organize it all at once.
Instead:

Start building the structure you want inside Delightree

Upload files into the Knowledge Base directly as you go

Use our Folder Starter Template if you need a starting point

Step 2: Give Delightree Access
Once you know where it lives, create a dedicated login or grant access for our team:

Please ensure the content is viewable and downloadable by this email address.
If using Google Drive:

Add
Onboarding@delightree.com
as a Viewer to the folder -
Create a top-level folder with all subfolders you want us to access

Label clearly what’s “ready to migrate” and what’s “reference only” if needed
Step 3: Understand Our Folder Structure
Delightree uses a 2-level folder system:

Main folders (e.g. Training, Operations, Marketing)

Subfolders underneath (e.g. FOH Training, Daily Prep, Campaign Calendar)
You can keep your existing folder structure with multiple subfolders, we’ll just flatten deeply nested folders into subfolders inside their parent.

No need to overthink it we’ll preserve subfolders where it makes sense and simplify where we can.

🚫 What Not to Send
To keep your Knowledge Base clean from Day 1, please do NOT include:

Outdated files (label them “Archived” or skip altogether)

Broken or expiring external links
Step 5: Make Sharing Easy
To avoid delays:

Add all folders you want us to migrate into a shared Google Drive folder

Set permissions to “Anyone with the link can view”

Use the prep sheet to flag what we’re copying over vs. skipping
