Phase 1: Pre-Launch Preparation

Goal: Set the foundation for a smooth transition by aligning your team, preparing content, and building franchisee awareness and excitement.

Step 1: Audit and Upload Your Materials

Ensure franchisees log in to a platform that feels immediately useful. Empty platforms don’t drive adoption.

What to do:

  • Inventory all SOPs, checklists, training manuals, and documents.

  • Identify what’s missing, outdated, or inconsistent.

  • Clean up file names and organize formats for easy uploading.

Ask yourself:

  • Have we gathered all the core operational documents?

  • Is everything up to date and consistent across locations?

  • Are materials easy to understand and organized for quick reference?

Step 2: Assign a Rollout Champion and Team

Franchisees are more likely to adopt a new system when they understand how it benefits them. Set the tone early.

  • Share how the system will save them time, reduce errors, and improve visibility.

  • Tie it to their day-to-day challenges and frustrations.

  • Set expectations for what’s coming and when.

Ask yourself:

  • Have we clearly communicated what’s changing and why?

  • Are we focusing on how this tool will directly help them?

  • Do franchisees understand what’s expected of them and when?

Step 5: Follow the Communication Timeline

3-4 Weeks Before Rollout: Tease the Transition

  • Let the network know a new system is coming.

  • Share how it will reduce complexity, replace outdated tools, and drive consistency.

2 Weeks Before Rollout: Introduce Delightree

  • Officially announce the change and share the rollout date.

  • Send the teaser video explaining benefits.

  • Clarify what tools are going away and how Delightree will replace them.

1 Week Before Rollout: Set Cutover Expectations

  • Share a clear deadline for when to stop using old tools (e.g., spreadsheets, WhatsApp).

  • Explain what content will be ready in Delightree (e.g., checklists, training).

  • Let them know where to find training inside the platform.
