Let Location Admins Upload Compliance Documents Directly

Remove the approval bottleneck for categories that don't need franchisor review

For compliance categories where franchisor approval isn't necessary, you can now turn off the approval requirement at the category level. Location admins can upload documents straight to the repository and keep records current — without waiting on a franchisor review queue.

How It Works

1. Choose which categories need approval — and which don't

In the category creation or edit flow, a franchisor admin can turn off the approval requirement for that category. The setting applies uniformly across all locations under your business.

2. Location admins upload directly to non-approval categories

When approval is off, location admins can upload documents straight to the repository under that category. No waiting, no approval queue.

3. Private documents stay private

Location admins can upload private compliance documents that skip approval entirely. Private documents are visible only to the uploading location admin and associated location admins — never to franchisor admins or franchisor staff.

Who Can Do What

  • Franchisor Admins: Can always add documents directly, regardless of the category setting. Retain full access to view and manage all non-private documents.
  • Franchisor Staff: See clear indicators of whether approval is required before uploading. Moving a document into an approval-required category always triggers the approval flow.
  • Location Admins: Can upload directly to non-approval categories and keep private documents at their location.

A Few Things to Know

Approval is on by default. For all existing and new categories, the approval setting defaults to on. Nothing changes unless a franchisor admin explicitly turns it off for a specific category.

Think it through before turning approval off. Consider which categories genuinely need oversight and which are routine enough to leave open. A clear split reduces friction for location admins going forward.

Switching a category from approval to non-approval: Documents in Pending Approval are cleared from the queue and added to the repository. Documents in Resubmission Requested stay in their current state and must complete review first.

Switching back to approval-required: Only new submissions from that point enter the approval queue. Documents already in the repository are not affected.
